Ascot Design is an international design consultancy with a team of 50+ based in Berkshire, Cheshire and London, delivering high-end bespoke projects for developers and private clients across the UK and worldwide.
We are recruiting a new Front Desk Manager due to an internal promotion. As the face of Ascot Design at our head office, you will be the first point of contact for visitors and clients. You will offer a warm welcome and respond to enquiries and requests in a courteous and professional manner. In addition to managing the front desk, you will also provide general administrative support and assist with coordinating projects and tasks.
Key Responsibilities:
● Serve as the primary point of contact for visitors and clients, including answering intercom and telephone enquiries and welcoming visitors.
● Monitor and respond to the 'admin' email account, forwarding enquiries and requests to the appropriate team members and referring new business leads to a director or senior manager.
● Manage the maintenance and availability of boardrooms, arrange bookings and assign alternative meeting areas if necessary.
● Book in new feasibility studies and projects, updating records on WorkflowMax creating both electronic and hard copy files. Provide the agreed fees and instalment breakdown to the accounts manager.
● Coordinate fee quotes from consultants, liaising with clients and the consultants to confirm instructions, arrange site access, and follow up for necessary reports.
● Record and provide a weekly summary of fee proposals on the Fee Quote Database spreadsheet to the Managing Director.
● Coordinate the annual archiving of project files, both on-site and off-site.
● Manage and maintain stationery and general office supplies, conducting regular price checks to ensure competitive rates.
● Provide general office support, including opening and distributing incoming mail, posting outgoing mail, photocopying, scanning, and binding documents, and filing.
● Keep the kitchen clean and tidy, and routinely check that storage areas within the office are kept orderly and surfaces are clear of clutter.
Key Skills & Experience:
● Minimum of 5 GCSE grades A-C including Maths and English
● Strong numeracy skills
● Excellent verbal and written communication
● Proficiency with Microsoft Office; experience with WorkflowMax is desirable
● Highly organised and able to prioritise tasks effectively
● Reliable and well-presented with a discreet demeanour
